Functional context:
The
Human Resources Admin Officer, in close coordination with Hivos SEA
Operations Manager and Human Resources Consultant, provides support to
develop and puts into practice the overall administrative HRM policies
and procedures, and deliver suitable HR solutions that lead to
organizational success. The HRAO ensures that the organization vision,
mission, values and targets are communicated clearly to all employees,
providing them with all the information they need to synchronize their
actions with the organizations objectives. The position will be
responsible for certain decision making in day to day management of the
HR operations.
The incumbent will be expected to adhere to system
and processes for smooth functioning of various facets of HR. S/he will
be helping in effective execution of all the HR admin activities like
recruitment, orientation and induction, performance management, staff
development and training and compensation management.
S/he, with
close coordination with Operations Manager and Human Resources
Consultant, supports senior and mid-level management in managing all
processes and interactions to develop, attract, retain and enhance
performance without sacrificing compliance with Hivos SEA policies,
systems and procedures in all areas of human resources. The HRO also
manages internal and outsourced processes for staff and oversee
alignment with head office and other regional offices. S/he manages
external service providers in the HR domain.
Roles and responsibilities
- Support HR administrative tasks for any implementation or revisions from Hivos personnel policy for national staff in accordance to Indonesian labor laws under coordination and supervision of Hivos OM and HR consultant.
- Prepare the HR admin recruitment process and agenda for new recruited staff’s induction with all departments.
- Support OM in collecting staff personnel data and to ensure proper maintenance and confidentiality of personnel files.
- Provide a monthly updated staff record regularly to be checked and reviewed by Operations Manager.
- Responsible for employee and family member medical registration for inpatient and life insurance, and medical reimbursement tracking for staff outpatient claim.
- Support and responsible for staff/employee social security (Jamsostek/BPJS) process and administration; maintain good communication with officer at the Jamsostek/BPJS office and ensure the updated information/regulation from the Jamsostek.
- Maintain the proper staff leave tracking and ensure the supporting documents are completed (signed and approved)
- Provide admin and logistic support to HR department to build and maintain networks with other HR professionals.
- General admin HR support tasks required by Operations Manager and HR consultant.
