Freedom House Job Vacancy: Executive Assistant - Washington DC, USA

Position Summary
The Executive Assistant will coordinate and support the President’s administrative affairs, communications, meetings, and initiatives. He/she will work on special projects to meet the objectives of the President and Freedom House. This position is based in Washington DC and reports to the President.

Minimum Qualifications
  • Bachelor’s degree in business, political science, international relations, or related field; Master’s degree preferred
  • Minimum 3 years of related experience; 2 years of experience working with high level executives strongly preferred.
  • Strong ability to communicate effectively in English, both verbally and in writing
  • Basic awareness and understanding of human rights and democracy promotion
  • Acquiring knowledge of current board membership and familiarity with FH board history
  • Mastery of MS Office Suite, superior ability to take minutes and type at least 40 words per minute
  • Excellent ability to write, review, and edit reports, graphics, and other materials clearly, concisely, and factually, and maintain comprehensive and accurate documentation and records management
  • Superior competence in full cycle project management including initiation, preparation, communication, execution and close-out
  • Ability to conduct basic research and apply strong analytical research skills to interpret and translate complex terms, concepts, and issues into language easily comprehensible to nonexperts
  • Ability to coordinate travel logistics, meetings, and use of conference facilities
  • Ability to accept and complete administrative tasks with a great attitude
  • Ability to work independently with minimal supervision, and meet all goals and deadlines
  • Ability to interact comfortably with Freedom House staff, high-level Board and stakeholder figures,as well as representatives and delegations from outside the organization
  • Ability to maintain the highest degree of confidentiality regarding all aspects of work at all times
  • Strong ability to plan, organize, prioritize work, and multitask to meet tight deadlines
  • Ability to apply superb attention to detail and consistently produce timely and error free work
  • Familiarity with the logistics of international travel, bookings, reservations, and visas
Some Duties and Responsibilities
  • Coordinate President’s administrative affairs and special projects in order that President’s time is leveraged and organizational effectiveness consequently attained
  • Maintain constant awareness of the confidential nature of the Executive assistant position and use wisdom and critical thinking in relating to all internal and external constituents
  • Serve as the point person to the President, work to ensure the President ‘s message is promptly conveyed in its exact form
  • Facilitate good working relationship with Board Members, various funders and donors, and private and public offices, including legislators, federal officials, and members of the diplomatic community
  • Manage complex calendar system including scheduling and logistics for internal and external high level meetings
  • Coordinate all schedules, travel arrangements and logistics for the President, and Board as directed
  • Track budget for the President and handle expenses, advances, and reimbursement promptly
  • Compose and initiate routine correspondence and disseminate accurately and promptly as appropriate
  • Prepare complex and confidential memoranda, correspondence, reports and other material as directed, and track follow-up on all communication including phone calls and electronic mail
  • Conduct research, and provide high level support to include drafting of bulleted remarks for President
  • Work on tasking of background memos, talking points, and briefing books for President’s meetings and travel, assisting FH staff in producing succinct easy-to-use written materials
  • Help supervise an intern to work with the President on research and writing, and on Board relations
  • Assist in compilation, production, and delivery of all board and committee meeting materials
  • Assist the President on preparation for meetings of the Board and the Executive Committee, and coordinate closely with the Director for Board Relations and Special Initiatives and
  • Other related duties as assigned
