The Special Assistant to the Executive Director (ED) will provide
executive support in a one-on-one working relationship with the ED.
He/she will serve as the primary point of contact for internal and
external constituencies and groups on all matters pertaining to the ED
Office and will assist the ED in all AFI-related operational, management
and communication tasks. He/she will provide overall information
management support and interface with key AFI processes, in particular
Strategy, Member Relations and Governance, Communications and Media
Relations, Donor Relations and External Partnership Management,
Financial Inclusion Policy, Finance, Administration and Human Resources,
and monitoring and evaluation. He/she will actively support the
strategic vision of AFI.
Main Duties and Responsibilities

- Support the ED’s engagement in building and maintaining broad personalized relationships with high level policymakers and key external partners Draft, monitor and record interactions/communication/correspondence with high-level policymakers and strategic partners
- Undertake specific research on AFI-related topics and provide country briefings to the Executive Director as required
- Participate in AFI Strategy Planning
- Maintain member confidence and protect operations by keeping all information confidential
- Manage and update the ED‘s schedule based on defined priorities
- Support high-level progress monitoring and collection of lessons learnt
- Record and minute meetings and discussions
- Review AFI progress reports and prepare ED Office-related reports by collecting and analyzing information
- Provide historical reference by developing and utilizing filing and retrieval systems Represent the ED by attending internal meetings
- Prepare presentations, papers, speeches and public activities of the ED (jointly with the Communications Team)
- Participate in and present at relevant events sharing and disseminating insights and knowledge from the AFI network
- Support the development of a concise high-level advocacy strategy, including key themes, activities, and goals.
- Oversee and support the ED’s engagement in social network activities such as Facebook, Twitter, etc..
- Promote the Maya Declaration and related commitments through the AFI network to encourage more credible and actionable commitments.
- 5+ years of experience in comparable position, project management work experience
- Excellent interpersonal, writing, presentation, and verbal communication skills
- Excellent time management skills
- Ability to interact professionally at all levels, capable of representing the ED in the presence of high level policymakers, key external partners, peers and senior leadership.
- Relevant organizational skills and an ability to manage and prioritize multiple projects to meet tight deadlines
- Willingness to travel extensively internationally and work flexible hours when needed
- Skilled in dealing with people, using tact, diplomacy and intercultural sensitivity
- Advanced business IT skills
- Skilled in strategic planning and long term goal setting/planning
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Emotional maturity
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
- Fluency in written and spoken English is required
- Working knowledge of French and/or Spanish, though not mandatory, is a definite asset
