We are now accepting applicants for Document Controller (for Technical Team) to support the review the design submittals for community and commercial renewable energy projects. This Expert must be available for short term duration over the coming months.
The program aims to promote environmentally sustainable, low carbon economic growth in rural Indonesia. The program will provide a combination of technical and financial assistance to support rural economic development that raises real incomes of Indonesians in a manner that reduces reliance on fossil fuels, improves land management practices, protects natural capital, and complements efforts to reduce emissions from deforestation and environmental degradation. The program will involve local communities and local and regional governments in these activities to improve the implementation of government policies and regulations that support low carbon development, as well as build capacity of local communities in natural resource and environmental management.
Main Responsibilities:
- Coordinate the activities of Document Control, including distribution and auditing controlled documents, maintenance of electronic systems, tracking and reporting on document review progress
- Work independently to facilitate group activities
- Manage archival activities for controlled documents and validation files
- Manage physical and electronic archival activities for controlled documents in accordance with applicable company retention policies and procedures
- Assist with the implementation, management and administration of the electronic document management system
- Work with Project Managers/Coordinators on technical subjects in positive, collaborative manner to prepare controlled documents which conform to the appropriate defined format
- Receive and process Request for Information, (RFIS)s, from stakeholders and maintain the requests via tracking logs
- Review and proofread documents for consistency of document format and system concerns
- Scan, image, organize and maintain documents, adhering to the company’s document lifecycle procedures
- Collect, maintain and distribute all documents necessary to define product configuration and control manufacturing processes that insure conformance to customer requirements
- Maintain a computer database of all filed documentation that ensures fast retrieval of documents
- Identify efficient processes and work closely with management to update procedures accordingly
- Assist with file migrations, audits, and preparing for project close out.
Requirements:
- Candidate shall be available for short term duration over the coming months
- Associate degree in physical science or engineering preferred (Min S1)
- Experience with Quality System Documentation and good documentation practices preferred
- Minimum 5 (five) years of experience in a document controls function
- Ability to work as part of a high-performing and multi-disciplinary team, often operating under tight deadlines and timetables
- Excellent writing skills
- Demonstrated ability to work accurately, follow instructions/schedules/timelines
- Polished, professional, well-organized, and eager to learn and be challenged
- Strong computer skills and ability to utilize multiple word-processing and database applications including MS office
- Promote an adherence to CDM Smith’s quality management program
- Works under minimal supervision
- At least one assignment with electronic file/data/documents management assignment
- At least 1 assignment on a medium to large-scale capital project
- Ability to work as a part of a high-performing and multi-disciplinary team, often operating under tight deadlines and timetables
- Fluent in English and Bahasa Indonesia with excellent written and oral communication skills.
