and dignity of victims of armed conflict and other situations of violence, and
to provide them with assistance. The ICRC also endeavors to prevent suffering
by promoting and strengthening humanitarian law and universal humanitarian

Established in 1863, the
ICRC is at the origin of the Geneva Conventions and the International Red Cross
and Red Crescent Movement. It directs and
coordinates the international activities by the Movement in armed conflicts and other situations of violence.

The
ICRC Regional Delegation in Jakarta seek to fill the following position:
Forensic Program Assistant (Indonesian)
In
h/his role as a Forensic Program Administrative Assistant, assists the ICRC in
the administrative support for the implementation of forensic programs/activities
in the Asia Pacific Region, with a view to reaching the objectives set within
the Asia Pacific delegation’s. The Forensic Program Administrative Assistant
is part of the forensic team within the delegation. S/he assists the Regional
Forensic Manager in providing all administrative support towards program/project
implementation, policies/proposal drafting, and helps ensure the integration of
the ICRC forensic programs within the delegation. When required, s/he represents the ICRC
towards external interlocutors as well as in various fora relevant to his/her
responsibilities and tasks, under supervision of the Regional Forensic Manager.
Main responsibilities
In
coordination with the Regional
Forensic Manager,
and with the aforementioned necessary oversight and guidance, s/he:
- Supports implementation of projects and programs.
- Produces statistics and updates data using specialized tools.
- Independently drafts and finalizes correspondence, internal presentations, meeting minutes and other documents; shares information among users.
- Updates the timeline, tables and charts, schedule and other tools and ensures invoices are followed up on.
- Prepares for local and regional meetings by setting up rooms and materials, including technical set-up for conference calls, presentations and video conferences.
- Independently carries out complex secretarial tasks.
- Assists with organizing local and regional seminars, training sessions and workshops; liaises with internal and external contacts and service providers related to their work.
- Participates in the Unit’s annual budget drafting and monitors expenses.
- Contributes to producing administrative and other tools adapted to their unit’s needs.
- Applies information-management instructions and ensures compliance with procedures, including in terms of user training (practices and tools) where needed.
- Assists in the dissemination of the organisation’s communications on forensic science and humanitarian action.
- Participates in and contributes to maintaining an optimal team environment.
- Participates in and contributes to working meetings when required.
- Contributes to developing tools, standards and guidelines to protect personal and confidential information in accordance with ICRC guidelines, particularly when involved in sharing such program and project data with external agencies.
- Distributes all electronic documents sent to the Region and all paper document received from the regional forensic team and shared with concerned staff members when necessary.
- Update a range of collaborative tools and databases (i.e. TS, DB, etc.).
- Arrange appointments for the Regional Manager at internal and external level.
- Organize the forensic archive and ensure a follow-up of the documents, letters and regional events.
Requirements
- Bachelor degree or equivalent in admin or affine sciences master degree an asset.
- Excellent command of English. Other languages an asset.
- Excellent computer skills, including Microsoft Office Suite, Sharepoint.
- Excellent analysis and writing skills.
Professional Experience Required:
- Minimum five years’ experience in an executive secretarial position.
- Previous employment in a medical or medico legal environment is an asset
- Previous events coordination is an asset
- Previous employment demonstrating ability to multitask and demonstrate sound organisational skills.
- Demonstrated experience interacting and liaising with a vast spectrum of actors, from Government ministers to the general public
- Demonstrated work experience responsibly and professionally managing sensitive and confidential information

- Understands the three components of the Red Cross/Red Crescent Movement
- Applies the security rules at all times
- Respects and observes staff regulations of the ICRC in Asia Pacific Region
- Performs duties and tasks not covered in this job description and provide support to other departments when necessary.
